Frequently asked questions

Common questions about Privy accounts, plans, envelopes, workspaces and how your data is handled — organised by topic.

Getting Started

How do I register for a Privy account?

You can register for a Privy account at sign.privyid.com, using a Google account, a Microsoft account, or by filling out the available registration form. To learn more about Privy, visit privyid.com. If you need help, email helpdesk@privy.id.

What account types are available on Privy, and what's the difference between them?

Privy offers four account types to support different needs:

  1. Free: a free plan with a quota of up to 5 envelopes sent per month.
  2. Personal: a subscription plan for individual users, with a quota of up to 50 envelopes sent per month.
  3. Business: a subscription plan for teams, with unlimited envelope sending and team collaboration features.
  4. Enterprise: a custom plan for organizations with large-scale needs, including SSO/SAML and API integration, with support tailored to your requirements.

See the full feature breakdown for each plan in the Plans & Pricing section below. You can upgrade your account type at any time as your needs grow.

What is an Envelope?

An envelope is Privy's digital container for sending one or more documents at once for signature or review. A single envelope can hold multiple documents and multiple recipients. Your plan's quota (Free, Personal, or Business) is based on the number of envelopes you send, not the number of documents or signatures.

Plans & Pricing

Do I need to subscribe to use Privy?

No. Privy offers a Free plan you can use at no cost, with a limited quota. If you need a larger quota or more features, you can upgrade to the Personal or Business plan at any time. See full pricing details on our pricing page.

How do I sign up for an Enterprise account?

The Enterprise plan is tailored to your organization's needs, so sign-up is handled directly by the Privy team. Please contact us by completing this form, then follow the instructions provided. If you only need the Business plan, you can activate it yourself directly from your account without contacting our team.

What features are included in the Free plan?

The Free plan includes:

  1. Envelopes Sent: send up to 5 envelopes per month.
  2. Reusable Templates: up to 5 templates (see “What is the Document Template feature?” in the Feature Details section).
  3. Save Contacts: save an unlimited number of recipient contacts.
  4. PrivyChat: send instant messages to other Privy users, switch between workspaces, and create group chats.
  5. Digital Signature Verification: verify the validity of electronic signatures on a document.
  6. Cloud Connections (Google Drive, OneDrive): upload documents directly from Google Drive or OneDrive.
  7. Linked Document & Attachment: attach supporting documents or links when sending an envelope.
  8. Auto Reminder, Repeat Reminder, and Expiry: see “What are the Action Reminder and Deadline features?” in the Feature Details section.
What features are included in the Personal plan?

The Personal plan includes everything in the Free plan, plus:

  1. Envelopes Sent: send up to 50 envelopes per month (600 per year on the annual plan), up from 5. The quota is based on envelopes sent, not documents; a single envelope can contain multiple documents.
  2. Unlimited Reusable Templates (the Free plan is capped at 5).
  3. Reports & Analytics: view reports and analytics on your document activity.
What features are included in the Business plan?

The Business plan includes everything in the Personal plan, plus:

  1. Unlimited Envelopes Sent: send an unlimited number of envelopes.
  2. Team members (seats) from 1 up to unlimited, based on what your team needs.
  3. Participant Groups: create and manage participant groups to speed up recurring sends.
  4. Workflow Automation: configure and automate the sequence of actions within an envelope.
  5. Retention Policy: see “What is the Document Retention Policy feature?” in the Feature Details section.
  6. e-Seal: apply your company's official electronic seal to documents.
  7. Company e-Stamp: apply your company's electronic stamp to documents.
  8. Workspace Preferences & Role Management: configure workspace preferences and manage each member's role.
  9. Action Delegation: see “What is Document Delegation, and how is it different from Handover?” in the Feature Details section.
  10. Trusted Domain: restrict workspace membership to a specific email domain, so only members with an email address on that domain can join.
  11. Custom Branding: customize your workspace's email templates, including the copy and logo.

Note: SSO/SAML sign-in and API & Integrations are not included on the Business plan. Both are Enterprise-only.

Can I switch from a Personal plan to a Business plan, or the other way around?

Yes. An upgrade from Personal to Business takes effect immediately on the day you upgrade; any remaining time on your Personal plan is non-refundable and cannot be credited toward the new Business plan. A downgrade from Business to Personal takes effect after your current Business subscription period ends.

Envelopes & Documents

Is there a limit on document size within an envelope?

Yes. An envelope can be up to 250MB in total, and each individual document can be up to 25MB.

Do documents I upload but haven't sent yet count toward my envelope quota?

No. Your envelope quota is only counted when an envelope is actually sent. Documents saved as drafts don't reduce your quota.

Using Privy

How do I upload and sign a document on Privy?

Here's how to upload and sign a document on Privy (applies to both Personal and Business accounts):

  1. Log in at sign.privyid.com using your Privy account and password.
  2. If you have more than one account, select the one you want to use via the profile icon in the top-right corner.
  3. Click “Send an envelope”, then select “Upload document”.
  4. Upload the document from your device storage, Google Drive, or OneDrive. Make sure each document is in a supported format and no larger than 25MB (up to 250MB per envelope).
  5. In the “Envelope Details” section, you can edit the document name, enable a QR code, choose a document category, or add more documents. Click “Continue” when done.
  6. Click “Add recipient” to add a recipient, yourself or someone else, using email or from your saved contacts and groups.
  7. Place a signature by selecting the Signature icon in the “Fields” column. Resize it by dragging the bottom-right corner, and add other fields such as name and signature date. Click “Continue” to proceed.
  8. On the “Prepare & Finish” page, configure additional settings such as reminders, notifications, or attachments. Click “Finish”, then “Confirm & Send”.
  9. Once the document is sent, click “Sign now” if you want to sign immediately, then click “Start” and “Finish & Sign”.
  10. Enter the OTP code to confirm, then complete the signature by clicking “Sign”.
How do I switch from a Personal profile to a Business workspace?

To switch from a Personal profile to a Business workspace:

  1. Go to sign.privyid.com, then log in using your Privy account and password.
  2. Click the profile icon in the top-right corner.
  3. Select the Business workspace you want. You'll be switched into that workspace automatically.

Make sure your Privy account is already associated with the target Business workspace.

Team & Workspace (Business)

How do I add a new member to my Business workspace?

To add a new member to your Business workspace:

  1. Go to sign.privyid.com, then log in using your Privy account and password.
  2. Select your Business workspace.
  3. Click the “Admin” menu.
  4. Click the “Members” menu, then click “Add Member”.
  5. Enter the new member's email address, then click “Add”.

The member now has access to your Business workspace.

Is there a limit on team members for the Business plan?

There's no maximum. You can add as many team members (seats) as you need, and each additional seat is billed accordingly.

Who becomes the admin of my Business or Enterprise workspace?

The person who first creates the workspace automatically becomes an admin and can add other admins. Note that every admin also occupies one paid seat.

If I add team members partway through my annual subscription, how is billing handled?

Additional seats are billed on a prorated basis, based on the remaining time in your current subscription period.

How many workspaces can I create?

Each Business or Enterprise account can have one workspace.

What happens to team documents if the plan owner cancels their subscription?

Once the subscription period ends, all members are automatically removed and the workspace is closed. Before that happens, the workspace owner is prompted to hand over the team's documents (see “What is the Document Handover feature?” in the Feature Details section) so access isn't lost.

Can my company's admin see documents I've signed personally?

No. Admins can't view, open, or access documents you've signed personally, unless they are also a recipient of that document.

Feature Details

What is the Document Template feature?

Document Template lets you save the structure of documents you send often, including signature field placement, recipients, and other settings, as a reusable template, so you don't have to set everything up from scratch each time you send a similar document. The Free plan includes up to 5 templates, while Personal, Business, and Enterprise all get unlimited templates.

What are the Action Reminder and Deadline features?

Privy has a few features to help keep your signing process moving:

  • Auto Reminder: sends automatic reminders to recipients who haven't completed their action yet.
  • Repeat Reminder: sends those reminders again periodically until the action is completed.
  • Expiry: sets a deadline for an envelope; once it passes, recipients can no longer act on it.

All three are available on every Privy account type, including Free.

What is the Document Retention Policy feature?

Document Retention Policy lets Business admins define how long completed documents are kept in the workspace before they're archived or removed, based on your organization's policy. It helps ensure document storage matches your organization's internal retention needs and any applicable requirements. Available from the Business plan up.

What is the Document Handover feature?

Document Handover lets an admin transfer view access to a member's completed or signed documents to another member, for example, when an employee leaves the company. This doesn't change document ownership and doesn't require acceptance from the receiving member. Handover only applies to documents that are already completed or signed; documents still awaiting action are handled separately (see Document Delegation). Document Handover is currently available on the Enterprise plan.

What is Document Delegation, and how is it different from Handover?

Document Delegation lets you temporarily assign someone else to take action (such as signing) on documents still awaiting your action, for a set period of time. Unlike Handover, Delegation requires the assigned person to accept before they can act, and the audit trail records that the action was taken on your behalf.

Integrations & Data Privacy

What can Privy access when I connect Google Drive or OneDrive?

For Google Drive, Privy can only open the document you specifically select through Google's own file picker. It can't see your other files or change or delete anything. For OneDrive, Privy displays your file and folder list so you can choose what to upload, but it only downloads the document you select and never modifies or deletes your files. You can disconnect either integration anytime from the Cloud Connections menu in Privy, or by revoking access from your Google or Microsoft account settings.

What data does Privy receive when I sign up or sign in with Google?

Privy only receives basic information from Google's verified sign-in process: your name, email address, and profile photo. Privy doesn't receive your password, phone number, date of birth, address, or Google contact list, and doesn't access any other Google service beyond the sign-in itself.
